ADMINISTRATIVE ASSISTANT – CAR RENTAL COMPANY
Salary: $2,200 per month
Location: East Area (Easily accessible by public transport)
Employment Type: Full-Time (Contract)
Working Days: Monday – Friday (5 days per week)
Working Hours: 10:00 AM – 7:00 PM
Minimum Commitment: 6 months (Longer commitment preferred)

Position Overview
As an Administrative Assistant, you will play a key role in supporting the company’s daily administrative and operational activities. This position combines documentation management, vehicle coordination, and customer communication responsibilities.
You will work closely with the operations team and management to ensure that every rental process runs smoothly, is properly documented, and complies with company standards.
This role provides the opportunity to understand the full business workflow, from contract preparation to vehicle handover procedures.
Job Responsibilities
1. Administration and Documentation
Prepare vehicle rental contracts according to company procedures
Verify customer documents before contract approval
Ensure all documents are properly signed and archived
Accurately input and update customer data
Maintain both physical and digital filing systems
Support internal audit processes when required
Attention to detail and the ability to work systematically are essential in this area.
2. Vehicle Operations
Conduct basic vehicle inspections during handover and return
Ensure vehicles meet company standards before release to customers
Record vehicle condition accurately and objectively
Drive vehicles within the parking area for arrangement and repositioning
Report any damage or irregularities to supervisors
A valid Class 3 or 3A driving license is mandatory, as this role involves handling vehicles within the operational area.
3. Customer Service and Communication
Respond to customer inquiries via Email and WhatsApp
Provide information regarding pricing, procedures, terms, and rental policies
Handle customer inquiries and requests professionally
Follow up on customer requests in a timely manner
Help maintain the company’s image and reputation through effective communication
Strong written communication skills are important for this role.
4. Additional Operational Support
Assist with coordination between administrative and operational teams
Support other administrative tasks as assigned by supervisors
Perform ad hoc duties related to business operations
Minimum Qualifications
Minimum Higher Nitec, Diploma, A Levels, or equivalent
No prior work experience required (training will be provided)
Possess a valid Class 3 or 3A driving license (mandatory)
Good communication skills in English and/or Bahasa Indonesia
Detail-oriented, organized, and responsible
Able to work independently and as part of a team
Willing to commit for at least 6 months
Able to start work soon is an advantage
